Job Description To perform administrative and office support to the VP, External and State Affairs in a responsible and confidential manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING (OTHER DUTIES MAY BE ASSIGNED):

1.Handle correspondence generated by the VP (including drafting as needed) 2.Schedule/coordinate conferences and meetings 3.Process invoices, expense reports, timesheets, etc for payment/reimbursement 4.Maintain budget spreadsheets in a timely and accurate fashion 5.Assist the VP with budget development and maintenance 6.Serve as a liaison internally with other departments and externally with state legislators and regulators as needed and directed by the VP 7.Produce and distribute briefing materials to members 8.Maintain committees database and database for lobbying reports 9.Support the production of Board books 10.Supervise other Board-related activities for the department 11.Prepare and schedule of travel arrangements for VP and members in the department 12.Assist with the production and distribution of weekly reports 13.Maintain department calendar of events as well as the VPs calendar 14.Coordinate the attendance ( invitations, travel arrangements, production of itineraries and information packages, planning of events) of guests of the department at conferences/shows
