Program Coordinator--Public Leadership Education Network

The Public Leadership Education Network (PLEN) is the only national organization whose sole focus is preparing college women for leadership in the public policy arena.
Job Description
Position: Program Coordinator
Supervisor: Executive Director
Overall Responsibility: Assist with planning, coordination, and marketing of PLEN programs and assist with day-to-day administrative tasks
Key Areas of Responsibility
A. Program Planning and Implementation:
a. Work with the Deputy Director to co-design and co-conceptualize all PLEN programming (including planning and scheduling of program speakers, topics and activities)
b. Implement and facilitate all PLEN programming; be present for all program sessions
c. Process incoming student registrations; process program cancellations
d. Organize housing list; communicate with hotel regarding housing requirements
e. Act as liaison with students and faculty prior to arrival via email and phone
f. Draft program materials and assemble program folders
g. Assist with planning and scheduling of program speakers as requested by the Deputy Director
h. Update speaker and student databases regularly
i. Ensure thank you notes are sent in timely fashion to all speakers
j. Assist with revising intern application materials
k. Secure required space for sessions
l. Place catering orders
B. Marketing:
a. Oversee creation of newsletters and email blasts
b. Manage social media, regularly provide content to blog, and daily updates to Twitter and Facebook
c. Implement new, creative marketing ideas to promote PLEN programs and assist with fundraising
d. Manage the student ambassadors’ outreach efforts
e. Work with the board’s Marketing Committee to ensure implementation of strategic communications plan
f. Respond to program-related telephone and email inquiries within 1 business day
g. Update website regularly
h. Draft and send program updates via email to faculty
i. Organize mass mailings of promotional materials to college campuses
C. Finances:
a. Organize program income by approved office procedures
b. Send invoices
c. Track income through approved office procedures
D. Fundraising:
a. Assist with Mentor Awards invitation mailing
b. Take minutes at meetings; circulate to staff and attendees
c. Assist with the set-up and execution of events
E. Administration:
a. Maintain supply list to be approved by Executive Director prior to ordering
b. Answer phones, sort mail, make copies (as requested), prepare outgoing mail
Qualifications
Required:
o Undergraduate degree
o Enthusiasm and commitment to women’s issues or women-centered programming
o A two year commitment to working with PLEN
o Excellent oral communication skills; comfort with public speaking; ability to communicate with multiple constituencies, especially students and speakers
o Strong written communication skills
o Internet research skills, strong knowledge of Microsoft Office Suite and email software, and demonstrated experience with social media platforms such Facebook and Twitter
o Ability to organize
o Attention to detail
o Ability to take initiative; self-starter
o Ability to work in a fast paced and demanding work environment
o Track record of delivering quality customer service
Preferred:
o Demonstrated leadership experience (such as having been a resident assistant; sorority officer; student government leader, club officer, etc.)
o At least 1-2 years of experience in the nonprofit sector or related field with transferable experiences
o Program or conference planning experience, either paid or volunteer
o Previous office work experience
o Experience with PLEN programs
o Experience with fundraising and/or media pitching
o Familiarity with database design or maintenance
o Interest in legislative process, politics or public policy
