Policy Administrative Assistant
The global law firm of K&L Gates LLP seeks an experienced Executive/Administrative Assistant to serve as a Policy Administrative Assistant for its Washington, DC office’s Public Policy Group. This position will be responsible for providing executive/administrative assistant/secretarial services to lobbyists and other legal professionals. Responsibilities will vary depending on the lobbyists/professionals and their specific practice areas.
Responsibilities may include:
• Answering and screening routine telephone calls.
• Heavy client contact via telephone, e-mail and face-to-face.
• Heavy scheduling/calendaring, to include coordinating with individuals from Capitol Hill, arranging for conference rooms and requesting conference room services for meals, beverages, a/v equipment and scheduling outside vendor services.
• Making travel arrangements.
• Preparing and submitting expense reports.
• Accurate inputting of lobbyists’/other professionals’ time.
• Create and edit PowerPoint presentations.
• Proofreading of all work, which includes reading documents for content and context.
• Assisting with Lobbying Disclosure reports.
• Preparing and maintaining client and office files. Updating periodicals and loose leaf publications.
• Preparing client bills, maintaining billing files, working with Accounting Department to resolve billing problems and efficiently process final billing statements and letters.
• Maintaining accurate and up-to-date databases such as contact lists, client/matter numbers and marketing mailing lists, etc.
• Performing light research.
• Assisting other timekeepers in the absence of their assistants.
• Assisting others with overflow work.
Qualifications:
The ideal candidate will have at least 5 years of executive/administrative assistant experience on Capitol Hill, law firm or association in a policy or government relations context. Interest in Financial and/or Housing policy would be helpful, but not necessary. Candidate will also have strong secretarial skills including typing, proofreading, spelling, grammar and math; proficiency in Microsoft Office, including Word, Excel and PowerPoint; ability to multitask, organize and prioritize workload, use own judgment in decision making on how to adequately and efficiently meet all deadlines; ability to take initiative; ability to follow specific and detailed instructions in oral and written form; ability to work with individuals of all levels and backgrounds; must have effective interpersonal skills; ability to prioritize, multi-task and work under tight deadlines; ability to work with a high level of discretion; type at least 55 wpm; high school diploma or its equivalent required or Certificate or Degree is preferred.
