JOB DESCRIPTION
Position Title: Administrative Assistant/Coordinator, Legal & Intellectual Property
Department: Legal and Intellectual Property
Reports to: Senior Vice President/General Counsel (or designee)

Position Summary: Provide support for the Legal & Intellectual Property Department and its committees and to maintain the infrastructure necessary for the Department to function effectively.

Essential Job Duties and Responsibilities:

A. Provide support to the Legal & Intellectual Property Department

Maintain attorneys’ schedules, handle travel arrangements, coordinate teleconferences and other meetings, and assist with logistics and follow up to such meetings

Process Department expense reports and legal invoices

Responsible for coordination of BIO Security Committee and Food & Ag Law Committee meetings and activities

Responsible for coordination of the Legal/IP Track at the BIO International Convention, including with respect to session organizer contracts and fees and participant CLE credits

Support administration of General Counsels Committee, IP Counsels Committee, and Biopharmaceutical Law Committee as necessary

Support administration of the BIO Board of Directors and BIO Board Standing Committees

Conduct legal and policy-related Internet-based research as requested

Draft and process documents and correspondence as requested

B. Support other specific projects of the Department as necessary and requested

Knowledge and Skills Required:

A. Administrative Skills

Candidate should possess excellent administrative skills, should be highly organized and detail-oriented, and should have strong research and proofreading skills.

B. Computer Skills

Candidate should be highly proficient with major computer applications, including Microsoft Word, Excel, Outlook, and Access. Applicant will need to learn to use the Personify database system, and should have experience with relational databases.

Education and Experience Required:

Candidate must have two or more years of experience assisting multiple senior managers with research, coordination of meetings, scheduling, filing, and other administrative tasks.

Candidate must have a minimum of two years of college-level education, but preferably a Bachelor’s degree (B.A.) from a four-year college or university.
