Membership Coordinator--American Land Title Association


Position Title: Membership Coordinator

Reports To: Membership Manager

Basic Function of Position: Responsible for handling all membership inquiries from new and
existing members through various forms of communication. Works
with staff to maintain accurate data on member companies.

Duties and Responsibilities
- Manage incoming and outstanding membership inquires
o Monitor membership voicemail and membership inbox
o Respond to inquiries by phone and e-mail
o Consult the membership manager/director when an appropriate answer cannot initially be determined by the coordinator
o Follow up with any personal inbox and voicemail inquiries regarding membership; forward any other inquiries to the appropriate party
o Monitor and complete directory changes as necessary
o Collect payments and research billing inquiries; communicate with accounting manager
o Start process of refund requests and forward on to administrative assistant
o Keep record of membership payments that are sent directly to the office
o Handle clarification of unclear payments sent back from bank
- Data management of membership constituent records
o Make note of duplicates, deactivations, and merges
o Work the membership and licensing teams and database administrator to determine proper course of action for alleviating inaccuracies in records; research inaccuracies as instructed
o Communicate pertinent findings during daily and/or weekly meetings
o Pull membership lists for other staff members when needed
- Perform data management and compliance projects when and as instructed
o Prioritize projects against other daily membership duties as instructed by supervisors
o Communicate pertinent findings during daily and/or weekly meetings
- Communicate with membership manager and director to understand basic daily and long-term goals and functions of the membership department
o Work with the membership team to determine which daily and long-term departmental functions she be fulfilled and/or supervised by the coordinator
o Communicate with supervisors for proper understanding of these functions, and to monitor their appropriate evolution according to the fluctuating needs of the department

- Prepare briefing documents for state land title association conventions
o Compile and organize the proper information according to the state document template
o Update template as necessary, when instructed
o Proof document and edit according to feedback from the chief operating officer
o Deliver completed document to chief operating officer and executive assistant
