Job Description

Under the general direction of the Head of Research and Academic Relations in Public Affairs, the Intern and Event Coordinator will:
Coordinate the Embassy’s internship program; serve as a point of contact for inquiries about the program; manage the application process, including the evaluation and selection of interns; review and evaluate internship applications and coordinate with Embassy section heads for placement of interns; monitor interns’ progress and serve as counsel and advisor; organize briefings and tours, including orientation briefing, briefings with senior Embassy officials, and tours to the White House, Pentagon, and Capitol Hill; maintain online information about the program; develop a social media presence and liaise with academic institutions and internship placement organizations to further promote the program; and maintain a database of intern alumni and serve as a reference source for former interns.
Organize events and meetings related to the Research and Academic Relations section; correspond with outside organizations that seek to hold an event at the Embassy; coordinate with organizations that are organizing an Embassy event to ensure that Embassy procedures are followed and the event meets the needs of the organization; coordinate with the Event Administration Manager and catering service to ensure that facility request forms are complete and processed and to ensure a successful event or meeting; and coordinate with the Embassy security section to ensure the safety and security of the event.
Provide administrative support to the Research and Academic Relations section, including managing the payment of invoices for section projects and event contracts, as well as the payment of hospitality and travel claims.
The Intern and Event Coordinator will need to be a bright, articulate, hard-working individual with a high energy level and outstanding interpersonal skills. The successful candidate will be highly collaborative and a detail-oriented professional who takes on active roles in both day-today functions as well as be a key member of the Research and Academic Relations (Public Affairs) team.

ESSENTIAL REQUIREMENTS:
Candidates must demonstrate clearly how they meet the Education and Experience requirements listed below:
EDUCATION:
Bachelor’s Degree
EXPERIENCE:
Experience with office procedures, including correspondence;
Experience with database management;
Experience providing customer/client service; and
Experience working with and advising youth and/or young adults.
RATED REQUIREMENTS:
Candidates who meet the Education and Experience requirements will be assessed on the following qualifications. The assessment may be a written test, an interview, an in-basket exercise, a skills test, or any combination of these methods.
KNOWLEDGE:
Database programs;
Knowledge and proficiency in computer software, including Excel, Word, and Outlook; General knowledge of U.S. or Canadian postsecondary system;
Event planning procedures; and
Recruitment processes, including interviewing skills.
ABILITIES:
Independently plan, organize, and implement multiple activities and projects in a fastpaced environment;
Make decisions independently that carry a high consequence of error and have impacts beyond one’s own work;
Work under pressure and meet deadlines;
Communicate effectively orally and in writing with both large and small audiences and senior government officials;
Analyze, assess, and evaluate information effectively; and
Provide professional and career-oriented coaching to interns.

DESIRABLE REQUIREMENTS:
